How to book a Komodo boat trip on Vinca, step by step

Booking Vinca takes four steps: message the desk with your dates and numbers, get a quote, pay a 50 percent deposit to hold the date, then pay the balance 30 days before sailing. You can pay by card link, Wise, Revolut, PayPal, QRIS, Alipay or bank transfer. Refunds follow a fixed ladder.
Four steps from message to boarding
First, message the desk on WhatsApp or by email with your dates, how many of you there are and the route you have in mind. If you're not sure about the route, just tell us how many days you have and we'll say which one fits.
Second, the desk checks the boat and comes back with availability and a quote in rupiah. For the open trip that's a per-person price for the cabin; for a charter, it's the price of the boat for your guest band.
Third, we send you an invoice, and a deposit of 50 percent holds the date.
Fourth, you pay the balance 30 days before departure, send passport details a week ahead, fly into Labuan Bajo the day before and wait for the 09:30 pickup. That's it.

The deposit and the balance
The deposit is 50 percent of the fare, and it's what confirms your date; until it arrives, nothing is held. The balance is due 30 days before departure, and bookings made within 30 days are paid in full once the desk confirms.
VAT at 11 percent is included in the prices we quote. Park entry, ranger fees, drone permits, flights, hotels, alcohol and crew tips aren't.
Before you pay, have a look at the table below: it shows exactly what's due and when, for a 3D2N and the other trip lengths, so you can plan your cash flow. If several people in your group are paying, tell the desk up front so the invoice goes out in the right name and nobody pays twice.

Changing the date, or cancelling
Moving to another date is free if you ask 30 days or more before departure. Between 14 and 29 days before, it costs IDR 500,000, and within 14 days it's treated as a cancellation.
Cancel 60 days or more before departure and you get 50 percent of the fare back; cancel between 30 and 59 days before and you get 25 percent. Within 30 days, there's no refund. Refunds are paid within 14 days.
That's a strict ladder, and we'd rather you knew it now. If you need free cancellation until close to sailing, we're not the right choice, and travel insurance with cancellation cover will do more for you than we can. We recommend it for every booking.
The night before, pack the soft bag, charge your phone and put your passport somewhere you'll find it at 09:00.

Paying: methods and fees
Our prices are set in rupiah, and the invoice is in rupiah too. You can pay by credit card through a payment link, by Wise, Revolut, PayPal, QRIS or Alipay, through an online payment page, or by bank transfer in rupiah.
PayPal adds 7.2 percent. With card links, any fee is shown on the invoice before you pay. Wise and Revolut have their own charges at your end. A rupiah bank transfer carries no fee from us, but your bank may charge you for sending money abroad.
Card payments go through processors such as Stripe and Airwallex, and the cards we accept include Visa, Mastercard and American Express.
Always get an invoice from the desk before you send money, and check that the account name on it matches the company in the operator box.

What we need from you before sailing
A week before departure, send us every guest's name exactly as it appears in their passport, plus passport numbers for foreign visitors. The park ticket uses the same names, so copy them exactly as printed.
Let the desk know about allergies, dietary needs, mobility issues and anything medical the crew should be aware of. Choose your cabin type, and tell us your hotel and your flights in and out.
We recommend travel insurance for every booking; check that it covers sea travel and cancellation.
Pack sandals and trekking shoes, a backpack or soft bag, some emergency cash, your own medicines and sunscreen. Bring rupiah in cash for tips and small purchases, as there are no cash machines on the islands.
If we cancel, or the sea changes the plan
Boat-substitution guarantee: if Vinca cannot sail on your date because of a mechanical fault or an order from the port or the park, we move you to a phinisi of the same class or higher for the same dates at no extra cost, and if you would rather not sail on another boat, you get a full refund within 14 days. Nobody flies to Labuan Bajo for nothing.
Weather and the park are a different matter. Stops can change without notice because of the weather, the current, or decisions by the national park or the port authorities, and the captain may also change a day for safety. When that happens, the route changes but the fare doesn't.
If a natural disaster, a government order or some other event stops sailing altogether, your date can be moved to a later departure under the rescheduling rules above.
We can't guarantee a particular site on a particular day, and we'd rather tell you here, before the deposit, than have you find out in the middle of the park.
FAQ
How much do I pay when I book?
A deposit of 50 percent of the fare; for a Western room on the open trip, that's half of IDR 8,500,000 (≈ USD 521). The rest is due 30 days before departure, or straight away if you book within 30 days.
Do I need to send passport copies?
About a week before departure you send names as printed in the passports, plus passport numbers for foreign guests. The park ticket is bought in your name, and the desk needs those details to buy it. Send them early so any mistakes can be fixed before the 09:30 pickup.
Which payment method costs the least?
A bank transfer in rupiah, which carries no fee from us. PayPal adds 7.2 percent, and card payment links show any fee on the invoice before you pay. We also accept Wise, Revolut, QRIS, Alipay and online payment, each with its own charges.
What do I get back if I cancel 45 days out?
25 percent of the fare. The ladder pays 50 percent at 60 days or more, 25 percent between 30 and 59 days and nothing within 30 days. Refunds are paid within 14 days of cancelling, so tell the desk which account or card it should go to.
Can I see the price in dollars or euros?
Prices are set in rupiah, and the invoice is in rupiah. The dollar figures on this site are a guide at a fixed rate, so a Western room at IDR 8,500,000 (≈ USD 521) will convert to a slightly different amount on the day. Your bank or payment provider sets the final conversion.
